Lincoln Parent Teacher Organization Board Roles

Lincoln School PTO President(s) Description 

Leadership – Maintain Vision/ Mission of PTO
Serve as point of initial contact for Principal, Teachers, PTO members, parents, and community leaders

Bring topics to Board meetings and PTO meetings (concerns, requests, etc.)

Work with Board to verify objectives align with PTO vision/ mission

Schedule, prepare agenda, and lead monthly PTO Board meeting & Meet with Principal monthly

Attend yearly Melrose PTO Inc. meeting

Optional: attend monthly City-Wide PTO meeting with Lincoln City-Wide liaison

Communication
Monitor and respond to emails delivered to ptoatlincolnmelrose@gmail.com

Work with Secretary(ies) to send meeting minutes and other email announcements
 

Fundraising & Events
Manage Annual Appeal (draft letter and oversee mailing)

Work with Board and Principal to finalize yearly calendar of events

Work with Treasurers and the Board to finalize annual budget; communicate to event managers

Work with Enrichment Coordinators to ensure in-school experiences align with mission/ vision and budget

Reserve space with DPW and sign custodial contracts for events & Oversee finances and verify compliance

 

Lincoln School PTO Vice President/PR Coordinator(s) Description 

Work with Social Media team to post events/ announcements and monitor/ respond to Facebook messages
Keep kiosks at school up to date

Act as a liaison between PTO Board and event chairs/sub-committees for specific events

Participate in planning, calendar, and budget processes

Assist other Board members as needed and Volunteer at events when possible

Provide information for Principal newsletter

Provide and generate content and information for PTO newsletter 

Optional: attend monthly City-Wide PTO meeting with Lincoln City Wide Liaison


Lincoln School PTO Treasurer(s)  Description 

Work with the Board to create & finalize annual budget; communicate to event coordinator(s).  

Coordinate with event coordinators for budgets, cash boxes and deposits before/after events.

Payables – writing checks for teacher reimbursement, events, supplies, field trips, library, etc. as requested.

Monthly bank account reconciliation & submission to the Melrose PTO Inc.

Annual Custody Statement & Year-end financials sent to PTO Inc. by July 15th each year.

Maintaining books in PTO Manager and keeping them up to date so we have accurate #s to make Board decisions.

Volunteer at events when possible.

 

Lincoln School PTO Secretary(ies) Description 

Maintain email lists: volunteer and others for library volunteers, families, teachers and staff

Provide all email communications:  Upcoming events, Agenda & Meeting minutes, volunteer opportunities 

Maintain files for Google Documents for Budget, Event documents, Calendars, Agendas, Minutes

Provide access or create Sign Up genius for volunteer opportunities

Meeting Minutes: Notation taken during meeting events, format final record of the meeting to be shared

Act as a liaison between PTO Board and event chairs/sub-committees for specific events

Participate in planning, calendar, and budget processes

Assist other Board members as needed and Volunteer at events when possible

 

Lincoln School PTO Enrichment Chair Description

The Enrichment Chair will work to research and arrange high quality programs that enhance and enrich the school curriculum. These activities take place during the school day. The chair will coordinate enrichment activities for all grade levels. Specific goals include:

  • Work with principal and teachers to determine opportunities
  • Seek out activities which are appropriate and accessible to all grades
  • Vet programming with Lincoln staff to ensure consistency with building goals
  • Schedule all activities, coordinate scheduling with school administrators and teachers
  • Attend all events, wherever possible
  • Serve on the Executive Board, attend PTO board meetings and city-wide enrichment meetings for idea sharing
  • Actively participate with the PTO board around budget planning and fund allocations
  • Arrange payment to programs/performers
  • Time commitment: Active throughout the year, long range planning is essential. Moderate to minimal time commitment, depending upon the programs chosen – approximately 8 hours a month on average.

A brand new position last year, the PTO is looking for someone to continue building and expanding this role with us. We anticipate this role evolving and growing over the coming years as we begin to include it in more of our PTO activities at Lincoln. The Bridge is a non-profit organization that recruits, screens, trains, and places volunteers in the Melrose Public Schools. Bridge volunteers are parents, caregivers, retirees, grandparents, professionals, people from the business community, government employees, and high school and college students. In addition to completing the online registration (link below), all new volunteers must also complete a CORI Request Form (blue paper). This form must be completed in person with a government issued photo ID such as a driver’s license or passport. Lincoln’s administrative assistant Laurie Cruz can help you complete the CORI process in the school office.
